The George Meany Memorial Archives will not lend original material, but offers reproduction services. Reproductions are provided under license agreement, for the purposes indicated by the user of these services on the GMMA Request to Reproduce/Publish Images (RRP) Agreement. This agreement is to be signed both by the user and by a representative of the GMMA. Both the agreement and conditions governing use can be found on the Request to Reproduce/Publish Images page. Costs for reproduction are the sum of two fees: use and production. Fees are subject to change without notice. All sales are final.

Use Fees

Use fees, per image, for any medium include one-time, one-use, non-exclusive, single-language, North American publication rights, for a ten-year duration.

Publication Use: Black and White

For-profit entities, partnerships, and private businesses:

  • Editorial use (books, periodicals, published works -- print or online) - $50.00
  • Video and film productions - $100.00
  • Advertising and other non-editorial uses (e.g., covers, dust jackets, etc.) - $200.00
Non-profit entities (selling the final product for a profit):
  • Editorial use - $25.00
  • Video and film productions - $50.00
  • Advertising and other non-editorial uses - $100.00
Publication Use: Color

For-profit entities, partnerships, and private businesses:

  • Editorial use (books, periodicals, published works -- print or online) - $75.00
  • Video and film productions - $150.00
  • Advertising and other non-editorial uses (e.g., covers, dust jackets, etc.) - $300.00
Non-profit entities (selling the final product for a profit):
  • Editorial use - $35.00
  • Video and film productions - $75.00
  • Advertising and other non-editorial uses - $150.00
Projection Use: Slides for public lectures and business presentations

  • For-profit entities - $10.00
  • Non-profit entities - $5.00
Exhibition Use: Prints for exhibition or public display

  • For-profit entities - $50.00
  • Non-profit entities - $25.00
Electronic Reproduction

CD-ROM:

  • For-profit entities - $200.00
  • Non-profit entities - $100.00
Internet (1/2 screen):
  • Personal - $35.00 (1 year); $50.00 (2 years)

Production Fees

The following costs will be charged in addition to use fees (see Use Fees, above).

8"x10" digital print - $15.00 minimum (plus in-house scan fee)
In-house scan (JPEG) for 8"x10" originals - $15.00
Lab scan (JPEG) for originals other than 8"x10" - $15.00 minimum (plus lab delivery fee)
Lab delivery (one way) - $40.00 minimum rush messenger; $5.00 minimum UPS

Availability and prices for different sizes, quantities, etc., will be quoted upon request. See Order Fulfillment and Delivery, below, to compute processing costs.

Photocopies

Guidelines for photocopying restrictions are available upon request. Photocopies of images and other non-textual materials are staff-made only. Same day photocopying is limited to ten images/non-textual items for on-site requests. For all written requests and for on-site requests that exceed ten items, GMMA staff will process photocopies within five working days from receipt of the request.

  • Photocopies of textual materials - $.10
  • Photocopies of images and other non-textual materials - $.25
Quality of Images

File prints in the GMMA come from many sources and vary considerably in technical quality. The fee for regular service provides the purchaser with a print of regular quality from a given negative made to the best judgment of the printer. It does not ensure a print of exhibition quality, does not provide for special paper or special effects, nor does it guarantee a print identical to the file print. It is the policy of the GMMA to reproduce the entire negative. Specific printing instructions for any cropping and/or special effects for each print must accompany the order.

Captions

The GMMA will provide captions when available and will facilitate the process of identifying images by providing negative numbers on the backs of the images, and by returning a copy of the order form with each order. If a problem with identification arises, contact the GMMA.

Videotaping/Camera Copying

At the discretion of GMMA staff, users may videotape or shoot material in our holdings. The GMMA requires at least seventy-two hours advance notice.

Order Fulfillment and Delivery

Processing of an order will proceed only upon receipt of the signed GMMA Request to Reproduce/Publish Images (RRP) Agreement, along with payment of all fees. Please do not send pre-payment until you sign and return the RRP agreement. Please order well in advance of your need since completion dates not specifically guaranteed in writing by the GMMA are only estimates.

Normal Service

Normal service is seven working days (not including shipping time) from receipt of advance payment and completed copy of the RRP agreement.

Rush Service

Rush service is available only at the discretion of the GMMA and must be confirmed before processing begins. Forty-eight hours (not including shipping time) guaranteed delivery will be assessed a 50% surcharge on the total order (i.e., additional one-half of all production fees). Twenty-four hours (not including shipping time) guaranteed delivery will be assessed a 100% surcharge on the total order (i.e., double all production fees).

Shipping

All orders are shipped, prepaid, via United States Postal Service (USPS) regular mail (add $3.95 to the total order), unless expedited delivery is requested. We do not use Federal Express. United Parcel Service (UPS) next/2nd day delivery fees are based on zip codes and weight. Special handling or mailing instructions must be included with the order, and are subject to additional charges. [TOP]

Special Conditions and Fees

Fee Exception

Use fees do not apply to:

  • organizations affiliated with the AFL-CIO
  • non-profit organizations (e.g., government agencies, churches, organizations with 501(c)3 IRS status) not selling the final product for a profit
  • scholars (when used for personal research, class lectures, theses/dissertations)
  • home use
For-profit entities and individuals working for, or with, non-profit organizations and government agencies on projects or publications sponsored by those organizations may, with suitable letters of identification, be eligible to receive the non-profit rate of half of the regular use fees.

Reduced Fees

A 30% discount is applicable to the use of more than four images in a single product. Additional rights are 30% of each secondary use added to the primary use (i.e., highest priced fee) prior to the issuance of the agreement. Once the GMMA has signed the agreement, costs for additional rights will be the prevailing rates at the time of issuance of the license for additional rights. Rights are limited to ten years for a single production.

Reuse Fees

All requests for reuse or change in use must be applied for in writing. Reuse fees for the same use are usually one-half of the current listed fees. Reuse fees for different uses are the current listed fees.

Special Fees

Rates for other uses not listed in this schedule will be quoted upon request. Reduced rates are offered to donors needing copies of materials they have previously donated to the GMMA. [TOP]

Reference Service and Fees

Researchers are urged to visit in person to view finding aids and holdings. Otherwise, the GMMA limits reference services to thirty minutes at no charge. We accept requests by mail, online form, email, fax, or telephone (when followed by written confirmation). [TOP]

Copyright

GMMA staff will attempt to inform researchers about known copyright or other restrictions when such information is readily available through GMMA records (e.g., GMMA Restrictions Notebook), as a service to help researchers determine the appropriate use of an image. Copyright determination ultimately rests with the researcher, however. When GMMA staff do not know about copyright restrictions, we will not advise researchers about appropriate use. The GMMA will not provide use copies (publication quality) without necessary release documents from the copyright owner(s). [TOP]
